Refund & Cancellation Policy

1. Booking Retainer

To confirm a booking, an advance retainer is required as stated in your quotation. This retainer secures your event date and is applied toward your total fee. Because reserving a date means we turn away other potential bookings, the retainer is generally non-refundable except as described below.

2. Cancellation by the Client

• More than 60 days before the event: the retainer may be adjusted toward a future booking within 12 months, subject to availability.
• 30–60 days before the event: the retainer is forfeited; any additional amounts paid beyond the retainer are refundable.
• Less than 30 days before the event: 50% of the total booking value becomes payable to cover reserved time and lost opportunity; amounts paid above this are refundable.

3. Rescheduling

We understand plans can change. If you need to reschedule, please notify us as early as possible. We will make every effort to accommodate your new date subject to availability. If we are unavailable on the rescheduled date, the cancellation terms above apply. One reschedule is generally permitted without additional charge; subsequent changes may incur a fee.

4. Cancellation by Kaycean Studios

In the rare event that we must cancel due to circumstances within our control and cannot arrange a suitable replacement photographer, you will receive a full refund of all amounts paid, including the retainer. Our liability is limited to the total amount paid for the affected service.

5. Force Majeure

If an event is cancelled or postponed due to circumstances beyond either party’s reasonable control — such as natural disasters, illness, government restrictions, or other emergencies — we will work in good faith to reschedule to a mutually convenient date. In such cases the retainer remains valid toward the rescheduled date.

6. Refunds on Delivered Work

Due to the personalised, time-bound nature of our services, fees for completed and delivered photography or videography are non-refundable. If you are unhappy with any aspect of the deliverables, please contact us within 7 days of delivery and we will work with you in good faith to address reasonable concerns.

7. Refund Processing

Approved refunds are processed to the original payment method within 7–14 business days. Any bank or transaction charges may be deducted from the refunded amount.
